Here are a few key things to help your conference calls be more powerful.

Prior to the conference call, make a list of things that you need to discuss. Then, send that list out via email, fax or other communication. Take care to make sure that your written communication briefly describes each point that needs to be discussed and perhaps introduces the participants ahead of time. Also, at this point you can remind the participants of when the call will take place, and how to use the system.

A quiet calling environment is key. Prior to the call, turn off any equipment in your office or workspace that can create noise or distractions. If your phone has call waiting, disable that for the duration of the call and be sure that those around you are aware that you are not to be disturbed. Be sure that you have someone in charge of the call, to make sure that it is organized and goes smoothly.

Always address each person speaking by their names, when responding to questions or comments. When the call begins, the person leading the call should conduct a brief introduction of each caller, having everyone introduce themselves by name, in turn. This will make sure that everyone is aware of what comments are directed at them.

Keep the call polite. If you are chairing the call, be sure that you are in control, so that no one is interrupting another person when they are speaking. Often, if one person interrupts another mid-sentence, it can cause the person who was speaking to be completely cut off and unable to finish their statement, so be sure that this is not allowed.

Being able to make sure that a conference call is a constructive and efficient one can be fairly easy, if you are following a few easy directives. Often, you will find that a great flow of conversation and ideas can happen when everyone’s aware of what the call needs to cover, and things are kept polite, constructive and clear.
